Job Description

The functional business Manager of the Document Management application (DMS) will be the primary business and functional point of contact for Hilton's Documentum and KOFAX solutions. The Team Member will be focused on the functional support and configuration of finance related business processes for achieving an automated and paperless environment. The Manager of DMS will report to the Director of Master Data Governance within the Accounting and Finance organization and will work with both the business and IT to define and establish a steady state process to handle incoming business requirements, enhancements and issues, as well as help manage escalations of issues and provide expertise on new projects and initiatives that include the DMS.

What will I be doing?

The Manager of the Document Management application (DMS) will be required to have a solid knowledge of the business processes supported by the solution thus necessitating the ability to engage with the business and IT teams to understand requirements, as well as understand and recommend solution options. The Team Member must have a solid understanding of Documentum and KOFAX in regard to their functional capabilities. The Manager of DMS will also be required to have solid communication skills to manage the requests and requirements from the business and IT teams. This role will be key to Hilton's objectives to automate processes, centralize documentation, achieve a paperless environment, and become more efficient with back office transactional processing.

Other key priorities are listed below:

  • Functionally support the Documentum and KOFAX products to support the Enterprise Content Management initiative within Finance, this will be inclusive of requirements gathering and documentation, functional configuration and test support and UAT coordination
  • Gain an understanding of the future finance requirements for content management and help define business processes to support future demands
  • Help establish a steady state support model that quickly and efficiently addresses production defects and enhancements, this will include defining IT versus functional support role and functions as appropriate
  • Build relationships with business and IT teams to help turn business requirements into technical specifications
  • Support the business in defining clear and logical processes supported easily within the applications
  • Collaborate with other IT teams to understand integrations, reporting, and the solution direction, ensuring appropriate SoX controls are imbedded within the application
  • Stay up to date on Enterprise Content Management solutions and roadmaps to ensure Hilton stays current in its use of the applications and learn best practices from other companies that are also using them
  • Create and support training requirements on the document management system for business and technical teams as needed
  • Attend meetings with executives as appropriate to share subject matter expertise related to solution options and capabilities of the document management system
Job Requirements

What are we looking for?

To fulfill this role successfully, you must possess the following minimum qualifications and experience:

  • BA/BS Bachelor’s Degree in computer science, system analysis, or a related study
  • A minimum of five (5) years of professional experience
  • A minimum of one (1) year of experience functionally administering and supporting Documentum solutions
  • General understanding of Documentum and KOFAX
  • Application solution experience with enterprise scanning, email management, workflow, and business process management
  • Experience in functional business process flow and requirement specification documentation
  • Proficient in Microsoft Office Suite (especially PowerPoint)
  • Ability to work effectively in a collaborative environment
  • Must be able to communicate effectively both verbally and in writing across all levels of the organization
  • Ability to travel as required (25%)

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

  • Knowledge of PeopleSoft Financials and PeopleSoft HR
  • Hospitality industry experience
  • Experience with other enterprise content management systems like SharePoint
  • Documentum or KOFAX related certifications and/or formal training
